Sentrient’s HR software for churches is an all-in-one HR and compliance system for Australian parishes, dioceses and faith-based organisations. It onboards staff and volunteers, tracks Working With Children Checks and training, captures policy sign-off and keeps workforce records in one place, so a small church office can manage people without a dedicated HR team.
HR Software For Churches
A simple-to-implement, easy-to-use, and reliable HR system for churches across Australia. Onboard ministers, lay staff and volunteers, keep Working With Children Check and training records current, get policies and codes of conduct signed, and hold every workforce record in one place so parish leaders can focus on ministry, not paperwork.
Church HR Software Built for Australian Faith Communities
Churches carry the workforce obligations of any employer, and a few more. Ministers, office staff, youth workers, musicians and a large volunteer team all need onboarding, screening and training, often across several parishes with no dedicated HR person. Anyone in child-related work needs a valid Working With Children Check under state law, the National Principles for Child Safe Organisations expect staff and volunteers to be suitable, trained and supported, and where a church has paid staff, WHS duties extend to its volunteers. Sentrient’s HR software for faith-based organisations gives you one place to onboard people, track checks and expiry dates, deliver online training, capture policy sign-off and keep records audit-ready. It supports the work of staying compliant. Your church or diocese remains responsible for meeting its obligations.

FAQs About Our HR Software for Churches
Answers to the questions parish administrators, ministers and diocesan HR teams ask us most about running HR and compliance in a church.
Yes. Sentrient is built and supported in Australia and used by Australian churches and faith-based agencies, including Uniting Church WA. Courses, policy templates and record-keeping are written for Australian workplace law, and support is available in Australian business hours. Faith-based agencies with a wider community services arm may also want our HR software for not-for-profit agencies page.
Most churches use two kinds of software. Church management software handles members, giving, services and rosters. HR software handles the people who serve: recruitment, onboarding, screening records, training, policies, performance and workforce records. Sentrient is the second kind, and it works beside whichever church management system a parish already runs.
No. Sentrient does not roster services or volunteers, interpret awards, run payroll, or manage members, giving and child check-in. Tools such as RosterElf, Elvanto and your payroll provider do that. Sentrient is the HR and compliance layer beside them, holding onboarding, checks, training, policies and records, with timesheet data exportable for payroll.
Yes. Record each person’s WWCC number, state, expiry date and police check outcome against their profile, whether they are paid or volunteer. Reports show who holds a current check by parish and role. Sentrient stores the record and dates. Verifying a check with the state screening body remains the church’s responsibility.
Set an expiry date on the record and Sentrient sends reminders to the person and their supervisor at intervals you choose before renewal falls due. A dashboard lists everything expiring in the next 30, 60 or 90 days, so the parish office can act early. The church remains responsible for making sure people in child-related work hold a valid check.
The National Principles, endorsed by all Australian governments after the Royal Commission, describe ten elements of a child safe organisation, including suitable and supported staff, education and training, and documented policies. Sentrient helps you evidence those elements through screening records, a Child Safety and Protection course, signed policies and review checklists. Meeting the principles remains the church’s responsibility.
Safe Work Australia states that an organisation with paid employees that also engages volunteers has WHS duties to those volunteers, including information, training and consultation. Sentrient lets you deliver a Work Health and Safety course, publish safety policies for acknowledgement and log incidents for volunteers as well as staff. Your church remains responsible for meeting its WHS duties.
Sentrient includes pre-built online courses that fit church settings, including Child Safety and Protection, Work Health and Safety, Privacy, Workplace Bullying, Sexual Harassment, Equal Employment Opportunity and Cyber Security. You can also upload your denomination’s own safe ministry training and record completions from external providers in the same place.
Yes. Assign a course once and set it to recur every 12, 24 or 36 months. Sentrient re-enrols the person, sends reminders and records each completion, so a three-yearly safe ministry refresher or an annual child safety course runs without someone keeping a spreadsheet. Your church sets the frequency its denomination or insurer expects. Building your own safe ministry course and reporting completion by parish is covered on our LMS for faith-based organisations page.
Staff and volunteer profiles, contracts and letters of appointment, WWCC and police check details, qualifications and certificates, signed policies and codes of conduct, training completions, position descriptions, supervision notes, timesheets and leave for paid staff, and incident reports. Records are date-stamped and exportable. Fair Work record-keeping requirements still apply to the church as employer.
Run a report that shows, for any parish or role, who holds a current check, who has completed which course and who has signed which policy, with dates. When an insurer, denominational safeguarding office or ACNC reviewer asks for evidence, you export it rather than assembling it. Sentrient keeps the records audit-ready. The church remains responsible for the review outcome.
Yes. Anyone with a login can report an incident, near miss, hazard or safeguarding concern from a phone or computer. The report goes to the right person, actions are tracked to closure, and the register is available for review. Mandatory reporting obligations to police or child protection authorities sit outside the system and remain the church’s responsibility.
A new starter can complete onboarding before their first day. They receive a link, enter their details and check numbers, sign the child safety policy and code of conduct, and start their assigned courses. The parish office sees a checklist of what is done and what is outstanding, so most paperwork is finished in one sitting.
Yes. Volunteers, casual musicians, part-time office staff and full-time ministers all have profiles in the same directory, with the checks, training and policies each group needs. Timesheets and leave apply only to paid staff. Whether a minister of religion is an employee for a particular purpose is a legal question for your denomination, not something the system decides.
Yes. Set up each parish, congregation or campus as its own location with its own administrators, and give the diocesan or synod office visibility across all of them. Reports roll up by location, so a central safeguarding team can see check status and training completion across dozens of communities. Uniting Church WA uses Sentrient across more than 100 congregations and faith communities.
People stay where onboarding is organised, expectations are clear and someone notices their contribution. Sentrient gives new starters a clean welcome, keeps position descriptions and goals visible, schedules supervision, and lets teams celebrate milestones on the community wall. It supports the conditions that keep good people serving. Retention itself depends on the leadership and culture of the church.
Yes. Schedule supervision meetings, record notes, set goals, run annual or mid-year reviews and keep a development plan on each profile. Templates keep conversations consistent across parishes, and the record supports fair, documented decisions when leaders change or a concern is raised.
Yes. Sentrient works in any modern browser on a phone or tablet. Volunteers can complete onboarding, finish a course, sign a policy or report an incident from home or from the church hall. Administrators can approve timesheets and check expiry dashboards on the go.
A church management system is built around members, giving and services, and most hold little about the people who serve beyond a roster. Sentrient is built around the workforce: screening records, training with refreshers, signed policies, supervision and incident reporting. Churches that need both keep their church management system and add Sentrient for HR and compliance.
Sentrient suits single parishes, multi-campus churches, dioceses and synods, and the faith-based agencies that sit alongside them. Published clients include Uniting Church WA, Jesuit Social Services, St Patrick’s Community Support Centre and Kids First Australia. Read their case studies on our website.
Implementation starts with a setup call, then Sentrient loads your parishes, roles, people and policies, switches on the courses you need and trains your administrators. Most churches are live within weeks. Support is included, and the Sentrient team stays available after go-live.
Pricing depends on how many staff and volunteers you manage, how many locations you run and which modules you need. Tell us about your church and we will prepare a tailored proposal. There are no figures on this page because every church is different.
Yes. Book a free 20-minute demo and we will walk through onboarding, WWCC tracking, training and policy sign-off using examples from churches like yours. Use the form at the top of this page or the Request Demo button and we will be in touch.
