Sentrient's HR software for care homes is an all-in-one HR and compliance system for aged care providers in Australia. It covers recruitment, onboarding, worker screening records, training, policies, performance, incidents and timesheets in one platform, with reminders before any credential or course expires, so managers can show their workforce evidence is in order.
HR Software For Care Homes
A simple-to-implement, easy-to-use, and reliable all-in-one HR system for care homes and aged care providers across Australia. Onboard care workers quickly, keep police certificates and screening records current, deliver mandatory training and policies, and manage performance and incidents in one place, with reminders before anything expires.
Aged Care HR Software Built For Care Homes
Care homes run on a workforce that changes shift by shift. Personal care workers, registered nurses, lifestyle staff, kitchen and cleaning teams, agency fills and volunteers all need current screening, the right training and signed policies before they walk onto the floor. Under the Aged Care Act 2024, registered providers must meet the strengthened Aged Care Quality Standards, including workforce planning and human resource management outcomes, take reasonable steps so workers follow the Aged Care Code of Conduct, and meet worker screening rules that call for a police certificate not older than three years or an NDIS worker screening clearance. Sentrient gives care home managers one system to onboard staff, assign training, capture policy acknowledgements, record screening checks with expiry reminders, run performance reviews and log incidents, so the evidence is ready when the Commission asks for it.

FAQs About Our HR Software for Care Homes
Answers to the questions care home and aged care managers ask us most about running HR, training and compliance in one system.
Yes. Sentrient is an Australian platform used by residential aged care, home care and community care providers. It comes preloaded with Australian compliance courses and policies, supports Australian and New Zealand organisations, and is backed by a local support team. Our HR software for aged care providers is configured around Australian workforce obligations, not adapted from an overseas product.
Aged care providers usually run two layers. A rostering, award and payroll layer handles shifts and pay. An aged care HR system such as Sentrient handles onboarding, screening records, training, policies, performance and incidents, and holds the workforce evidence a provider needs. Many providers integrate the two rather than force one product to do both.
No. Sentrient does not roster shifts, interpret the SCHADS or nursing awards, run payroll, report care minutes or track GPS clock-ins. It is the HR and compliance layer that sits beside those tools. Timesheets can be exported to your payroll system, and platform integrations include Xero, MYOB and KeyPay.
Yes. Each worker's profile holds their police certificate or NDIS worker screening clearance with issue and expiry dates, alongside nursing registrations, first aid and other credentials. Managers can report on who is current, who is due and who is missing a record. Checking the banning order register and deciding who may work remain the provider's responsibility.
Set the expiry date on the credential and Sentrient sends automatic reminders to the worker and their manager before it is due, then flags the record as overdue. Aged care worker screening rules call for a police certificate that is not older than three years, so the reminder can be set well ahead of that. Your provider remains responsible for acting on the reminder.
The strengthened Quality Standards include workforce planning (Outcome 2.8) and human resource management (Outcome 2.9), which expect providers to engage suitably qualified workers and give them training and supervision. Sentrient keeps qualification, training, supervision and policy records in one place so you can evidence how your workforce is managed. Meeting the Standards remains the provider's responsibility.
The Commission expects providers to take reasonable steps so workers know and follow the Aged Care Code of Conduct, including regular training. In Sentrient you can publish the Code and your conduct policy for acknowledgement, assign the Code of Conduct Awareness and Professional Boundaries courses, and report on completion. Monitoring conduct on the floor remains the provider's responsibility.
Sentrient includes a library of online compliance courses that fit aged care, such as Manual Handling Training for Disability Support Workers and Healthcare Workers, Infection Prevention and Control, Hand Hygiene, Code of Conduct Awareness, Privacy, Work Health and Safety, Workplace Bullying, Sexual Harassment Prevention, Professional Boundaries and Working Alone. You can also upload your own induction and clinical modules.
Yes. Any course can be set to recur, for example annually for manual handling and infection control or on a schedule you choose for the Code of Conduct. Sentrient reassigns the course automatically, reminds the worker and their manager, and records each completion, so your training register stays current without anyone chasing. For provider-specific induction content and completion reporting home by home, see our aged care LMS.
You can hold each worker's screening checks, qualifications and registrations, working rights, signed policies, training completions, supervision and review notes, incident reports, timesheets and onboarding checklists. Documents are stored against the worker's profile with dates, and the form builder lets you capture site-specific checks. Records can be filtered by site, role or team. The lifting equipment, phones and vehicles a worker carries between homes are recorded in our aged care equipment register.
Yes. Reports show training, policy acknowledgement and credential status by worker, site and role, so you can pull a current picture of workforce evidence before an assessment contact or audit. Records are dated and exportable. Sentrient supports evidence preparation, and the outcome of any assessment remains the provider's responsibility.
Yes. Workers can log incidents, hazards and near misses from a phone, and managers can track investigation and close-out. This supports the incident management system the Serious Incident Response Scheme expects providers to run. Reporting a reportable incident to the Commission is done through the Commission's own channels and remains the provider's responsibility.
Most care homes issue the onboarding checklist the day an offer is accepted. The worker uploads their screening certificate, qualifications and working rights, signs policies and completes induction courses from their phone before the first shift, often within a few days. Managers see outstanding items in real time, so no one is rostered before their records are in.
Yes. Casual staff, agency fills, contractors and volunteers can each have a profile with the screening, training and policy requirements that match their role. Requirements can be lighter for volunteers and stricter for personal care roles. Agency workers can be set up for the period of their placement so their records sit beside your permanent team.
Yes. Sentrient supports multiple sites, wings, regions and home care teams in one account. Managers see their own site while head office reports across the group, and training and policies can be assigned by site or role. Workers who move between facilities keep one profile and one set of records.
It can help. Clear onboarding, regular supervision, development plans and recognition all make care workers more likely to stay, and Sentrient puts those tools in front of every manager. Predictive analytics highlight teams with rising turnover risk so you can act early. Pay, rostering and workload sit outside the system and matter just as much.
Yes. Managers can schedule supervision sessions and annual reviews, set goals, record notes and feedback, and build development plans that link to training. Records sit beside each worker's training and policy history, so you can show how staff are supported and developed when human resource management is assessed.
Yes. Sentrient works in a browser on any phone or tablet, so care workers can complete training, sign policies, upload certificates, submit timesheets and report incidents from wherever they are, including in a client's home. Managers approve and follow up from the same device.
Sentrient is simple to implement, easy for shift staff to use and built around the records aged care providers must keep. It comes preloaded with Australian compliance courses and policies, integrates with Xero, MYOB, KeyPay and Microsoft Entra ID, and is backed by local support. It is HR and compliance software for aged care that works beside your rostering and payroll tools.
Sentrient suits residential aged care homes, home care and community care providers, and organisations that also hold NDIS registration, from single sites to multi-region groups. Published clients in and near the sector include Care Forward, Grampians Community Health, NADO Disability Services and Carinya Society. Most care homes are live within weeks. Sentrient comes preloaded with courses, policies and forms, and our team configures sites, roles and training rules with you, imports your workforce and helps you invite staff. You get a named contact through setup and ongoing support afterwards.
Pricing depends on the number of workers, sites and modules you need. We provide a tailored proposal after a short conversation about your facilities and requirements, so you only pay for what your care home will use. There are no set-up surprises, and the proposal sets out what is included.
