The benefits of using knowledge management system tools are usually described internally, as time saved and knowledge retained. One external benefit is rarely claimed and matters more in a regulated setting.
Consistency of the answer. When three staff give three different accounts of your refund policy, your privacy handling or what a client is entitled to, the organisation has three positions rather than one. In a complaint or an audit, that inconsistency is itself the finding.
The same applies to compliance questions. What do we do when a customer asks for their data. What is our process for a suspected breach. Who signs this off. If those answers live in individual heads, they vary.
A single current answer, owned and dated, removes that variation, and it is far easier to defend than a range of reasonable interpretations.
