Ask what happens when the system is unavailable. Not whether it ever is, because everything is occasionally, but what you do when it happens on the day approvals must clear for a pay run.

Three things are worth knowing in advance. Whether there is any offline or read-only access to critical records. How outages are communicated, and to whom. And what the contract says about availability, as opposed to what the sales page says.

A simple fallback also helps a great deal. Knowing that leave and timesheet data can be exported weekly means an outage becomes an inconvenience rather than a payroll failure.
