HR Onboarding Systems
HR onboarding systems are usually sold on the new starter experience. The stronger case is narrower. Onboarding is the one moment where you have real leverage to collect what compliance depends on, and it disappears on day one.
Before someone starts, the paperwork is a condition of starting. Afterwards it becomes a favour you are chasing, and that is where records go missing.
The items worth gating are specific.
- Right to work. Evidence of citizenship, residency or visa conditions, recorded and dated.
- Licences and clearances. Working with children checks, police checks, trade licences and registrations, with expiry dates that trigger a reminder.
- Statements and forms. The Fair Work Information Statement must be given to every new employee, and the Casual Employment Information Statement to casuals. Tax and super forms sit here.
- Policy acknowledgement. Dated, against a named version.
- Pre-start training. Anything protective, completed before the first shift rather than in the next round.
A system that only stores these is a filing cabinet. The value is the gate, and a report showing who started without something.
The Fair Work Ombudsman sets out what must be given to new employees. This is general information rather than legal advice, and obligations vary by state and territory.
