Leave Management System
A leave management system is usually justified on convenience. The more durable reason is legal.
Australian employers are required to make and keep records of leave taken and leave balances for each employee, keep them for seven years, and be able to produce them on request. Pay slips carry their own requirements. Failing to keep proper records is itself a breach, separate from whether the leave was calculated correctly.
That framing changes what you look for. The question is not whether approvals are quick. It is whether you can show, for any employee and any date, what their balance was, what accrued, what was taken and what was approved by whom.
A shared calendar and an email trail will not answer that two years later.
