What is knowledge management software for, in practical terms? It exists to stop the same question being answered from scratch every time it is asked.
In most organisations the answer to a recurring question lives in somebody’s head, or in an email they sent eighteen months ago. When they are unavailable, the next person works it out again, often differently.
Software gives that answer a home, a date and an owner. What it cannot do is make anybody write it down, which is why most implementations sit unused.
The habit that makes it work is narrow. When a question is answered by email, the answer goes into the knowledge base and the email links to it. Do that consistently and the base builds itself from work that was happening anyway.
